1. About this Notice

This Privacy Notice explains how your personal data is collected and used for Shropshire Independent Cinema's Films for Farmers promotion. It applies to data collected via the promotional sign-up form hosted on the Films for Farmers page and the websites of our partner cinemas.

We are committed to protecting your privacy and handling your data in an open and transparent manner.

2. Who is in Control of Your Data?

For the purposes of the UK General Data Protection Regulation (GDPR), the three
independent cinemas running this promotion are Joint Data Controllers. This means we
work together to decide how your personal data is collected and used for this specific
promotion.

Our partner cinemas are:

  • Wem Town Hall, 28-32 High St, Wem, Shropshire SY4 5DG
  • Old Market Hall, The Square, Shrewsbury SY1 1LH
  • Ludlow Assembly Rooms, Assembly Rooms, Castle St, Ludlow SY8 1AZ

3. The Data We Collect

Via the sign-up form, we collect the following personal data:

  • Your Email Address
  • The name of the farm or agricultural business you work for
  • Your choice of preferred cinema

4. How and Why We Use Your Data
We process your personal data for two distinct purposes, each with a different legal
justification (lawful basis).

Purpose 1: To Provide Your Free Ticket Code
We use your email address, business name, and preferred cinema to verify your
eligibility and email you your unique, one-time ticket code.
Lawful Basis: We do this on the basis of our Legitimate Interests. It is a reasonable
and necessary part of fulfilling your request to participate in the promotion.

Purpose 2: To Send You Optional Marketing Newsletters by Email
If you choose to opt-in, we will use your email address to send you marketing
communications. You can choose to sign up for a newsletter about future Films for
Farmers; promotions and/or the regular newsletters from any of our four partner
cinemas.
Lawful Basis: We will only send you these communications based on your explicit
Consent, which you provide by actively ticking the relevant box(es) on the sign-up
form.

You do not have to provide consent for marketing to receive your free ticket code.

5. Data Sharing
Your data is shared between the three partner cinemas listed above for the purposes of
administering this promotion.

If you consent to receive a newsletter from a specific cinema, your email address will be
added to the mailing list of that particular cinema. Data is not shared with any other third
parties for marketing purposes. We may use third-party service providers, such as an email
marketing platform, to manage our newsletters. These providers act as Data Processors on
our behalf and are legally bound to protect your data.

6. Data Retention: How Long We Keep Your Data
We will not keep your data for longer than is necessary.

For the Ticket Code Promotion: If you do not consent to marketing, your personal data (email, business name) will be securely deleted 3 months after the promotion ends on 11th July 2026. We keep it for this period to handle any queries or issues with the codes.

For Marketing Newsletters: If you consent to receive one or more newsletters, your email address will be kept for that purpose until you withdraw your consent (unsubscribe).

7. Your Data Protection Rights
Under UK GDPR, you have a number of important rights, including:

  • Right to Access: You can request a copy of the personal data we hold about you.
  • Right to Rectification: You can ask us to correct any information you believe is inaccurate.
  • Right to Erasure (Right to be Forgotten): You can ask us to delete your personal data.
  • Right to Restrict Processing: You can ask us to suspend the processing of your personal data in certain circumstances.
  • Right to Object: You can object to us processing your data on the basis of our legitimate interests.

Your Right to Withdraw Consent

You have the right to withdraw your consent for marketing at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

You can do this easily by clicking the unsubscribe link provided in every marketing email
you receive from the cinemas listed above. Please note that unsubscribing from one cinema's newsletter will not automatically unsubscribe you from the others you have signed up for; you can manage your preferences for each list individually.

8. Your Right to Complain

If you have any concerns about our use of your personal information, you can make a
complaint to us using the contact details at the top of this notice.

You can also complain to the UK's data protection regulator, the Information Commissioner’s Office (ICO), if you are unhappy with how we have used your data.
